SLAGA Board Meeting
December 19, 2016
6:00 PM, Chemical Interchange Building
Attendees – Kathy DeWitt, Tony Colter, Bill Lange, Patricia Hutchison, Dave DeWitt
The meeting was called to order at 5:57 pm, with Bill motioning and Kathy seconding.
Motion to approve the November minutes was made by Tony, seconded by Kathy. Board unanimously approved the minutes.
Treasurer’s report, provided by email, was read by the board members as Laura MacLeod was not in attendance. Motion to accept treasurer’s report was made by Patricia and seconded by Tony. Board unanimously approved the treasurer’s report.
Old Business
- Brochures are still in process, per Kathy.
- Newsletter is postponed until next year.
- Event Recap
¨ Holiday Party
- Nan-D1955 hosted. About thirty to forty people showed up to the event, despite the icy weather and a great time was had by all.
- Nan reported via text message that 91 cans of food were donated, which she took to Circle of Concern in Valley Park on 12/19/16.
- Patricia headed up the toy drive. While she did not count the donations, she did collect four large bags of toys which she delivered to Crusoe’s Restaurant in South City. Crusoe’s was still collecting toys for a local charity, Toys for Kids. Toys for Tots closed out their collections earlier in the day and we had to look for an alternative donation site. As a thank you for the donations, Sean, the manager at Crusoe’s, gave Patricia a small stack of ‘Bonus Gift Cards’, which can be used at their restaurant for $5 off. Kathy suggested these be used as door prizes at the next event.

¨ Milestones
- Recipients must notify SLAGA of eligibility by 12/28/16 to be recognized.
- A second email went out around 12/21/16 as a ‘last call’ for eligibility.
- Kathy mentioned to Bill that he needs to remember to ask for the discount when he places his order for the milestone coins.
¨ Save the date – Went out in early December.
¨ New Year’s Day Hike – 1/1/17 – Tony may not be able to make it, as it’s on a Sunday. Suggested that we contact L Frank for possible sources of firewood. It was also suggested that temporary caches be placed to allow people to cache by ‘geosense alone’. There are published caches in the area, but they are few and far between, and being in a state park, temporaries make more sense, because permission would not have to be obtained beforehand as the caches would be set out and picked up the same day.
¨ Winter Potluck – 1/28/17 – Cache page is live (GC6X1ZQ) and L Frank is hosting in the shelter at Jefferson Barracks. Ray Bernecki has achieved 25,000 finds and will be honored with a jacket at this potluck. Bill has found a jacket; Kathy will call to verify that the embroidery will not interfere with the jacket’s features.
¨ Spring Picnic – 5/6/17 – Nan-D1955 will host. The Kirkwood pavilions have been secured and paid for.
¨ Summer Picnic – 7/15/17 – We called Mike Rogers and spoke to him about the possibility of having the summer picnic in his area. He agreed. Arthur of Arthur & Trillian is hosting at Rock Bridge just outside of Columbia, Missouri. Attendees will provide their own food.
¨ Fall Picnic – Patricia suggested 370 Park, which is expensive, but Pete Shaw knows somebody out there that might negotiate on the cost. This picnic is currently tabled.
¨ Halloweenie Roast – Larson Park is already paid for; we just need a date and a host. This event is currently tabled.
¨ Spring Picnic, 2018 – Queeny Park has been suggested with the further recommendation that caches currently in play be replaced with new ones, excepting the oldest ones, for those players who need ‘dated’ caches. This picnic is currently tabled.
- Classes
¨ Canoe – We called Pete Shaw to discuss canoeing instruction. He recommended May 1 – October 1 with promotions beginning before then. Canoeing and kayaking would be offered, but not the same day. Classes would be limited to about 10 participants. Pete recommended the Meramec River between Simpson Park and Emmenegger Park. It was also mentioned that Korriaan may be able to procure canoes for those who may need them, but we will have to look into this further to verify.
¨ GSAK – We called Jason Collier to discuss the GSAK classes. There are currently three – 101, 102 and 201 – which have been written up. Pete is proofing the 201 class documentation. Jason forwarded the 201 information to the SLAGA officers. Classes will be taught by Jason and Pete.
¨ Cache Publication & Placement – Tony Colter is teaching this how-to class on May 6, 2017 at the South Grand Library from 9 am – 2 pm.
¨ Queeny Park – Bill is planning to contact Queeny Park to inquire if SLAGA can hold classes in their facilities.
- SLAGA Geocoin
¨ Geocoin – This issue is tabled, per Tony.
¨ Pathtags – This issue is tabled, per Tony.
- BLR – The trail has been popular. People love the coins and there is currently plenty of stock.
- Paypal – Dave DeWitt contacted them and found out that nonprofit status requires a 501C(3) educational nonprofit is required; SLAGA is a 501C(7) recreational nonprofit, so we are back to square one with regard to needing a SSN for the account.
- Bank Accounts – Laura is on the accounts, but is having issues with the online banking. In addition, Kathy gave her two check registers – one for SLAGA, the other for Geocoinfest – and a deposit was made into the wrong account. Kathy is correcting it.
- Website Training for New Officers
¨ Laura needs to know how to update memberships.
- Liability discussion
¨ Girl Scouts – Bill spoke to Nancy Gelb regarding GSA liability.
¨ Boy Scouts – Dave spoke to BSA about liability.
- If they call us and ask for instruction, liability is on them.
- If we call them and offer instruction, liability is on us.
- Troops that request instruction in geocaching should be asked to provide a copy of the insurance contract from the BSA. All scouts are insured up to $1m for activities sponsored by the BSA, according to information Dave acquired from his contact.

- Patricia motioned for the meeting to be adjourned and it was seconded by Bill. The meeting adjourned at 8:06 pm.
There was some sidebar discussion between Kathy and Patricia regarding correspondence between SLAGA and its members for certain circumstances. This issue was spoken on by the other officers and agreed upon. The secretary handled the follow-up for said circumstances.

SLAGA Board Meeting
November 21, 2016

- The meeting was called to order at 6:05 pm.
- October minutes were read by attendees. Motion to approve the October minutes was made by Tony, seconded by Bill. Board unanimously approved the minutes.
- Treasurer’s report was glossed over as Laura MacLeod was not in attendance. Laura still does not have access to the accounts, however, per Kathy, she is to be added to the bank accounts on Friday, 11/25/16. Treasurer’s report has been tabled.

- Event Recap
¨ Coinfest – Milestone coins and T-shirt sales – Sold a good portion of the unengraved coins that were in stock and we have two T-shirts left.
¨ Grave Hop – Participants agreed that it was a fun time and expressed the desire to do it again. Kathy will speak to Scott Griffin about potentially hosting it again next year.
¨ Halloweenie Roast – Successful, laid-back event with about 15-20 attendees. Bill mentioned that $3 per person was collected to cover costs and sharable items were brought by attendees. He also mentioned purchasing toasting forks which were then given to those who wanted to keep them.
¨ Boone’s Lick Kickoff – The event was well-attended and participants have been submitting their passports for commemorative coins, as well as positive feedback for the whole trail. There was mention of the final cache in New Franklin being uncomfortably close to private property with a No Trespassing sign, and at least one cacher refused to make the grab because of its proximity. Tony suggested that cache pages may need more historical information on some of the locations, as it’s not clear as to the nature of the historical ‘value’ of some of the sites.
- E-mail blast/Upcoming Events:
¨ E-mail blasts will need to go out weekly for the month of December.

¨ Christmas Party – 12/17/16 – Nan volunteered to host. Patricia is heading the toy drive. Dave and Kathy are heading the food drive. There was discussion that the event is going to be scheduled for 5-8 p.m., but there’s an REO Speedwagon cover band scheduled for 9 p.m. and the manager wants to charge SLAGA members a $3 cover that would theoretically be refunded if they leave before the band begins playing. Kathy indicated she didn’t like this idea and offered to call the manager again to let him know SLAGA won’t pay a cover charge or we can take the business elsewhere. Topic tabled, pending further information.
¨ New Year’s Day Hike – 1/1/17 – This event will be published under SLAGA. The meal meeting will be at 11:00 am at the Eureka Culver’s (400 Meramec Blvd, Eureka, MO 63025) followed by a hike in Robertsville State Park at 1:00 pm. Bill called to confirm that we still have the reservation, which includes two pavilions and a firepit. SLAGA must supply its own wood for the fire, so Tony volunteered to find the firewood.
¨ Winter Potluck – 1/28/17 – Cache page is live (GC6X1ZQ) and L Frank is hosting in the shelter at Jefferson Barracks. Ray Bernecki has achieved 25,000 finds and will be honored with a jacket at this potluck. Bill will investigate purchasing the jacket for the award.
¨ Spring Picnic – Nan is volunteering to host on May 6. Patricia will help with the cache page.
¨ Halloweenie Roast – Nan suggested Kirkwood Park, but Kathy countered with Larson Park due to the historical number of attendees. Nan will look into reserving Larson Park for next autumn.
- Classes
¨ Canoe – This is still Pete’s realm. It was mentioned, but not discussed in-depth.
¨ Girl/Boy Scouts – This was discussed in further detail under New Business.
- Brief discussion about SWAG and that Nancy Gelb has been providing it for her training sessions. SLAGA was going to allot $100 to purchase SWAG from Oriental Trading Company and ship it to Nancy’s house, but Bill suggested that SLAGA provide her with a gift card instead to allow her to purchase whatever she would like. This appears to be the best option, however, there was no indication as to when this would occur.
- A Thank You note is needed to send to the Girl Scout leader who sent in a donation of $100 to SLAGA with their thank you note for our handling the classes in Queeny Park on 11/12/16. Kathy is to provide Patricia with the name and address for this purpose.
¨ GSAK – Jason Collier is the one who usually leads GSAK classes, but there is nothing currently scheduled. This was not discussed in-depth.
¨ Cache Publication – Tony Colter is planning a class in April, 2017, to be held at the St. Louis Public Library on South Grand. This was not discussed in-depth, as it’s still in the planning stage.
- SLAGA Geocoin
¨ Geocoin – This is still in the design stage, per Tony. He is hoping to begin presales at the Christmas party.
¨ Pathtags – No tag is currently in production, however, SLAGA has almost $200 in credit on account, due to ‘give backs’ (a little spiff kicked back to the organization when people purchase the SLAGA custom back design for their tags).
- Road Trips
¨ Jack Daniels – This will be held sometime in 2017. Kathy wants to do this one.
¨ Butler County Donut Trail Geotour – An Ohio geotour mentioned by Nan.
¨ Future trips – Due to planning issues (that no one individual wants to become the planner), Road Trips is being removed from topical discussion and left up to those who want to do them on their own.
- Paypal – Requires an SSN. Tony has resent the link with information about accounts for non-profit organizations, which do not require an SSN. The subject is continued for discussion next meeting.
- Square – This is set up and working. Dave has the Square swiper and chip reader available for SLAGA’s use.
- Bank Accounts – Laura will be added on 11/25/16, per Kathy.
- Website Training for New Officers
¨ Patricia was briefly trained before the board meeting.
¨ Bill indicated he didn’t feel he needed training at this time.
- SLAGA Caches
¨ There are currently a half a dozen SLAGA-owned caches. The two located in Queeny Park (GC2FGH4 & GC2FGG1) will be offered to Jim Greene for adoption. If he doesn’t want them, they will be archived when they get to the point that they need maintenance. The Weldon Spring cache (GC1PWM7) is currently disabled and will be archived. The cache, "A Window on Caching," in Greensfelder County Park includes an educational display about geocaching and will be maintained by SLAGA since it fits in our organizational purpose. Our two caches in West Tyson (GCRV3K) and Rockwoods Range (GCE074) will be maintained as long as we can due to their status as older caches.
- SLAGA Equipment Check-Out
¨ Dave and Kathy have the PA system and projector. Bill has the GPS units and ‘training junk’ (a large display box containing samples of geocaches and contents). Dave will turn over the other equipment to Bill, who will keep it in his basement and advise the secretary when things are checked out, so that someone other than he has the information.
New Business
- Bill brought up the Girl/Boy Scout training sessions. (See attached training suggestions, as this encompasses much of the discussion.)
- Does SLAGA need permission slips, hold harmless/liability waivers for these training sessions? Does SLAGA need liability insurance?
- Nan indicated that Girl Scouts require these things for their people and that SLAGA may be covered under their umbrella when the Council requests SLAGA’s volunteers at their programs, however, this may not be the same when individual troops request the training. No one knew whether the same could be said for the Boy Scouts. These issues need to be researched. The same issues are in question with regard to Geocaching 101 classes, which are geared toward adults and their families.
- Kathy will speak to the SLAGA ‘elders’ to find out more about possible liability. Patricia will speak to her brother (the lawyer) about liability options. Bill will speak with Nancy Gelb about Girl Scout coverage. The topic was tabled until we have more information.
- The GPS units – Garmin Dakota 20s – were discussed, regarding the issues that occurred in the field, such as unit #8 not functioning properly and several of the units not having received the data they indicated they’d received during the set-up phase. They are about three years old and have a value of about $150 per unit. (Tony reports that the units were purchased at $169.95 each and that the model has been discontinued.)
- Further discussion ensued about limiting group sizes and group ages, with recommendations that Scouts have a minimum age to be trained. Younger students would still be welcome, but SLAGA may require a parent be present to aid in the training.
- Nan suggested that SLAGA schedule a monthly training session and when approached by those wanting training, advise that the next training session is schedule for a particular date and advise that is when SLAGA would be available, instead of having to scramble to find volunteers for training.
- Bill recommended that we add the Geocaching app training as well as the GPS units, as many beginners may be unwilling to spend several hundred dollars on GPS units at the outset. This was countered with protests that Scouts are required to learn with a GPS unit as part of their merit badges, however, it was also conceded that this is likely a correct assumption for beginners and would allow the parents to participate in finding the permanent caches set out on the course. It was decided that for Geocaching 101, the app would be appropriate for those who don’t want to use a GPS or invest in one.
- It was also recommended that Laura MacLeod look into whether there has been any interest in Geocaching shown by any park visitors lately, as this is where many of those looking to learn more about the hobby originally came from.

v Future Meetings
- The topic of future meetings was brought up and several alternatives for dates were presented – and rejected – in an effort to allow all officers to be present for the meetings. Unfortunately, no date in December appeared to be viable for everyone, so the next meeting will again be on the third Monday of the month – December 19 – with the hope that a more suitable date could be found for January.
- In addition, discussion turned to the meeting venue, and several of the officers are looking into alternative locations which have fewer distractions. Patricia is checking with her boss to see if her office could be used for December’s meeting.

- GCF – October 22nd – Laura Million will head up the SLAGA table. Kathy DeWitt will send Laura a schedule of events. It is estimated that 2-3 people working 2 hour shifts should cover it.
- Halloween event 2016: October 22nd – Lawson Park in Webster Groves, needs a new host due to family commitment of current host. Laura Million mentioned that this was the same day as Cache Slash Fest in southern Illinois.
- Graveyard Hop – Wendy Neal will contact Scott Griffin about hosting the Graveyard Hop.
- Classes – Canoe and Kayak: Pete Shaw was asked to teach a class on Canoeing and Kayaking. He said that he would need a full day for each. He will ask membership interest in either kayaking or canoeing and offer the class in spring 2017.
- SLAGA coin:
SLAGA coin – Tony Colter is hoping that the coin will be ready by Geocoinfest.
Pathtags – the path tags will be ordered when the SLAGA coin design is complete
- Road trips: Kathy DeWitt announces that the Jack Daniels GeoTrail Road Trip is going to have to be November. She has not set a date yet.
- Boonslick Geotrail: Mark Coppersmith reports that the trail is coming along. Tony Colter will reach out to Mark about the coin design.
- Joomla: Dave DeWitt has updated the software for the website.
- Nominations: Ballots have gone out. An email blast will be sent out on August 19th and again on August 29th. Deadline to vote is August 31st.
- New Year’s Day Hike – Pete Shaw contacted Robertsville State Park and arranged for the pavilions for January 1, 2017 for no charge. SLAGA paid for the pavilions for last January, but due to the flooding, we were not able to hold the event. Pete noted that someone will have to contact Robertsville State Park in November to officially hold the Pavilion because they do not start taking reservations for next year until November.
New Business
- Taxes due 8/31/16 – Kathy DeWitt and Dave DeWitt filed the state and federal paperwork for SLAGA.
- WOW – October 8, Forest Park. Three session of 1.5 hours each to teach geocaching. Shifts would be 9:30am – 11am, 12:30pm – 2pm, and 2:30pm – 4pm. Not enough SLAGA board members would be available so we decided not to participate in this event.

The tentative Treasurer’s Report from June 2016 was read. Since this board meeting was held on June 30th, the full June Treasurer’s Report will be approved in the August Board meeting. A motion to approve the tentative Treasurer’s Reports was made by Pete Shaw and seconded by Tony Colter. The Board tentatively approved the June 2016 Treasurer’s Reports.

- Halloween event 2016: Kirkwood Park is not available either weekend. SLAGA will check with Webster Grove’s Larson Park.
- Classes-recap:
- Charles county camp, June 14 and June 22 – Pete reports very successful. Assisted Nanonafber69, Sam Britt attended both events. Andrea Shrimp (aschrima) helped place but could not attend. Board discussed giving them memberships to GC.com as thank you. Dave DeWitt will sign them up with Geocaching.com. A motion was made by Tony Colter to pay for two memberships at geocaching.com. Laura Million second the motion. The Board unanimously approved the motion.
Girl Scouts Geocaching Badge, June 25 – Laura Million reports 10 girls and 5 moms attended. Adults interested too.

- SLAGA coin:
SLAGA coin – Tony Colter is still working on the design.
Path Tags – the path tags will be ordered when the SLAGA coin design is complete
- Road trips: Kathy DeWitt announces that the Jack Daniels GeoTrail Road Trip is going to have to be November. She has not set a date yet.
- Boonslick Geotrail: No new details.
- Joomla: no update
- Nominations: Closes at the summer picnic. Steve Bromley will confirm the nomination and will send out the ballots when that is complete.
- Bellefountaine Cemetery: John Elfrank bought lids for the cache placements. One cache is published.
- 10,000 award Chairs – Pete Shaw and Wendy Neal will check Sports Authority for chairs before the stores closes for good.

The May 2, 2016 Board Meeting minutes were read. A motion to approve the May 2, 2016 SLAGA Board Meeting Minutes was made by Pete Shaw and seconded by Tony Colter. The Board unanimously approved the Minutes.
Treasurer’s report from May 2016 was read. A motion to approve the May Treasurer’s Report was made by Tony Colter and seconded by Pete Shaw. The Board unanimously approved the Treasurer’s report.

- Geocaching 101, May 21, 201, St. Louis County Library - Grants Glaze Branch Big Bend: Pete Shaw reported about 40 people.
- Publishing, May 21, 2016, 9:00 AM to 1:00 PM, Carpenter Branch Library in Tower Grove: Tony Colter reported everything went OK. There were a lot of new cachers, about 30 people in all.
- Classes:
- St. Charles County Camp, June 14 and June 22 – Pete Shaw will be teaching with help from volunteers
- Girl Scout, June 25th – Laura will be teaching a group of Girl Scout.
- SLAGA coin:
- SLAGA coin – Tony added “XV” for SLAGA’s 15th anniversary.
- Pathtags – once we get coin design, we will match path tags design to coins.
- Road trips:
- Oklahoma Land Run, June 2-6. Four people attended, Nina Dean, Jackie Lamerick, Hunter Lamerick, and Laura Million – lots of bramble, PI, and cedar trees.
- Jack Daniels Geotrail: Kathy DeWitt reports that it is going to have to be in November.
- Geotrail-Lewis & Clark: Will be placed on hold while we talk about Boonslick Geotrail
- Boonslick Geotrail:
- Mark Coppersmith informed us that the Boonslick Road runs from St. Charles, MO to Franklin MO. It is a historic trail that runs about 150 miles. There are about 25 DAR markers where caches can be placed off set of the markers. The Board discussed creating commemorative coins for the first 100 finders. Mark Coppersmith has a design and will work on details of the coin.
- Wendy make a motion that SLAGA gets involved with Boonslick Geotrail.
- SLAGA will up front the cost of the coin
- SLAGA will determine the fee charged for the coin for completed Geotrail
- SLAGA will host the passport on SLAGA website
- SLAGA will help with cost of the cache containers
Motion was second by Pete Shaw. The Board unanimously approved the motion.
- Joomla: Dave DeWitt is watching for a sale.
- Nominations: Kathy DeWitt reports that every Board position has a person nominated for it.
New Business
- PayPal: It was mentioned that SLAGA should change of Treasurers name on account. Until the change of Treasurer’s name, we can’t put money from our bank account to PayPal. Membership money is still going in and we are able to removed money. Since the Wendy Neal will not be running for Treasurer this fall, the Board will wait for the new treasurer to change name on account.
- Milestones: Rainman has passed his 25,000 milestone. Pete Shaw will meet with Rainman to discuss award options.
- John Elfrank will pick up plates and charcoal when it is on sale.
- The wheel broken on trailer. John Elfrank will fix it and send Wendy Neal the receipt.
- Bellefountaine Cemetery has agreed to create 13 positions for caches. They will dig holes for irrigation covers and SLAGA will cover the cost of about $300 for the covers.
- John Elfrank has “reserved” locations on GC.com for 13 caches. He is looking for volunteers to place caches. Several of the board members have agreed to place caches.
- A motion was made by Pete Shaw to pay for covers, the cache placer will put “SLAGA” on cache page or be charged $22 for irrigation cover. The motion was second by Tony Colter. The Board unanimously approved the motion.
